Job Description:

We are looking for an Operations Executive to support the end-to-end delivery of media campaigns across multiple channels and clients. The role is responsible for ensuring the seamless execution of campaign operations, from booking to reporting, reconciliation, and billing support. Work closely with trading teams, media partners, suppliers, and internal stakeholders to ensure campaigns are delivered accurately, on time, and in line with client expectations. This role also plays a key part in driving operational excellence, process improvement, and data accuracy across campaign delivery and financial administration.

Key Responsibilities

• Coordinate and support the end-to-end operational execution of media campaigns, ensuring all activities are delivered accurately and within agreed timelines.
• Manage campaign bookings, material specifications, asset collection, and material distribution to ensure compliance with media owner requirements and client expectations.
• Monitor campaign progress and proactively identify and resolve operational issues that may impact delivery.
• Collaborate with internal trading, planning, and client service teams to ensure campaigns are launched and delivered seamlessly.
• Build and maintain effective working relationships with internal teams, media partners, suppliers, and external stakeholders.
• Act as a key point of coordination between Media Operations, Trading, Finance, and media vendors to ensure smooth campaign execution.
• Support media brand partners through the timely and accurate execution of operational tasks related to campaign delivery.
• Extract, consolidate, and validate campaign data from media systems 
• Prepare spend reconciliation reports.
• Ensure reporting outputs are accurate, consistent, and aligned with agreed reporting standards and timelines.
• Support client and internal billing processes through invoice vouching and validation.
• Reconcile media delivery records against supplier invoices and campaign bookings.
• Investigate and resolve invoice discrepancies, billing mismatches, and delivery variances within established service-level timelines.
• Maintain accurate records of campaign costs, media delivery, and financial documentation.
• Partner with team members and leadership to identify opportunities to improve workflows, streamline processes, and enhance campaign delivery efficiency.
• Contribute to continuous improvement initiatives aimed at increasing operational effectiveness, reducing errors, and improving client satisfaction.
• Ensure compliance with internal processes, financial controls, and operational best practices.
• Provide general administrative and operational support to the trading and media operations teams as required.
• Assist in special projects, system updates, and business initiatives that support the broader media operations function.

Requirements

• Strong attention to detail and excellent organizational skills.
• Ability to manage multiple campaigns and deadlines simultaneously.
• Advanced proficiency in Excel and reporting tools.
• Effective communication and stakeholder management skills.
• Ability to work collaboratively in a fast-paced, deadline-driven environment.
