Job Profile: Assistant -Finance

Core Goal: Manage retail store expenses, supplier invoice workflows with TCS, handle PO workflows in OFIN, and perform ER vs. OFIN sales/COGS reconciliations.

📋 Key Responsibilities

System Reconciliations: Prepare weekly & monthly Sales and COGS reconciliations – ER Vs OFIN
Variance Tracking: Investigate and fix discrepancies between ER and OFIN data caused by interface errors or timing gaps.
PO Creation & Matching: Create Purchase Orders (POs) in OFIN based on approved vendor quotations, and perform invoice matching once jobs are completed.
Outsourcing Coordination (TCS): Send daily bank statements and scan/upload all supplier invoices directly to TCS for ledger entry.
Vendor Payments: Collect Statements of Account (SOA) from vendors, reconcile balances, and process payments.
Banking Logistics: Prepare and physically deposit bank transfer letters at the bank.
Store Petty Cash: Collect and audit petty cash statements and vouchers from stores and warehouses against physical receipts.
Cash Approvals & Booking: Route audited petty cash to the Retail Manager & Finance Head for approval, book entries in the system, and disburse store reimbursements.
Office Petty Cash: Maintain, count, and reconcile the physical head office petty cash fund daily.
Routine Accounting Jobs: Perform any other daily routine accounting works assigned by the department head.

🛠️ Key Requirements

Experience: 2+ years in retail or multi-site accounting.
Systems: Hands-on experience with Oracle Financials (OFIN) (specifically PO and Invoice modules)
Excel Skills: Strong Excel capability (Pivot Tables, VLOOKUPs) to handle data reconciliations.
Attributes: High numerical accuracy, sharp attention to detail for verifying receipts/quotations, and clear vendor communication.
