Job Description:
About the Role
We are seeking a highly organized and proactive Account Coordinator – MSP/VMS to support the day-to-day operations of our US client. This role connects clients, Account Managers, recruiters, providers, and internal teams to ensure job orders, submissions, interviews, credentialing, and assignments progress efficiently.
Key Responsibilities
Account & Operational Support
- Manage the lifecycle of client job orders, including opening, updating, placing on hold, and closing positions in Salesforce and VMS platforms.
- Review job requirements and maintain accurate listings, rates, and account information.
- Process name clears, candidate submissions, worker packets, and formal presentations.
- Review submissions for completeness, accuracy, and compliance with client requirements.
- Partner with Account Managers to validate bill rates, markups, margins, and account requirements.
- Maintain trackers covering job orders, submissions, interviews, credentialing, and assignments.
MSP/VMS Operations
- Manage job orders, candidate profiles, submissions, and assignment updates across multiple VMS platforms.
- Monitor portal notifications and respond to new, updated, held, or closed requirements.
- Prepare and submit complete candidate and worker packets based on client specifications.
- Track credentialing, compliance, and assignment requirements to support timely placements.
- Maintain consistent and accurate information across VMS, CRM, ATS, and internal systems.
Client & Candidate Support
- Serve as a key point of contact among clients, Account Managers, recruiters, candidates, providers, and support teams.
- Facilitate interviews and ensure timely follow-ups between clients and recruitment teams.
- Communicate job order changes, interview updates, assignment statuses, and other time-sensitive information.
- Provide account coverage when Account Managers or team leads are unavailable.
- Work with US and international teams across different time zones to keep hiring activities on track.
Reporting & Quality
- Maintain accurate documentation, trackers, and system records.
- Monitor submission and candidate pipeline activity and escalate delays or issues when necessary.
- Ensure account activities meet client, compliance, and quality standards.
- Provide timely reports and updates on job orders, submissions, interviews, credentialing, and placements.
Qualifications
- Minimum 1 year of experience in account coordination, staffing operations, recruitment support, administrative operations, or a related role supporting the US market.
- Required: Hands-on experience working in an MSP/VMS environment.
- Required: Healthcare staffing experience.
- Strong organizational and time-management skills.
- Excellent attention to detail when handling submissions, credentials, and client documentation.
- Strong written and verbal English communication skills.
- Ability to collaborate with multiple stakeholders across different time zones.
- Proficiency in Google Workspace or Microsoft Office.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Strong sense of ownership, urgency, and accountability.
