Job Description
Marketing Coordinator
We are looking for a Marketing Coordinator to support the day-to-day operations of the Marketing Department while providing administrative, coordination and basic marketing support to drive the hotel’s commercial and promotional activities.
Key Responsibilities
Marketing & Commercial Support
- Support the Marketing Director in the preparation and execution of the annual marketing plan and departmental activities.
- Support the development and implementation of marketing campaigns and promotional activities aimed at increasing hotel awareness and driving sales.
- Track timelines, deadlines and action items related to marketing activities, campaigns and events; collect the required information from relevant teams and provide regular updates to the Marketing Director.
- Support the operational coordination of events, photo/video shoots, press visits, influencer and partner visits, and other marketing-related activities organised by the Marketing Department.Maintain up-to-date knowledge of Fairmont Quasar Istanbul’s products, services, facilities, rates, promotions and hotel activities.
- Collect and monitor relevant market and competitor information and support the implementation of appropriate marketing activities.
- Coordinate with appointed Marketing, PR and other external agencies, following up on ongoing projects and deliverables.
- Support the preparation and updating of marketing materials, including presentations, brochures, case studies, promotional materials and other branded content.
- Assist with hotel website updates and content management.
- Support e-commerce action plans, ensuring deadlines and required actions are followed.
- Assist with internal communication and the promotion of hotel-wide campaigns, promotions and announcements.
- Assist with the preparation and organization of marketing-related events, meetings and activities.
- Support non-technical bid and presentation requirements, including formatting, document checks and brand compliance.
- Prepare relevant monthly marketing and sales reports and maintain accurate departmental records.
Office & Administrative Coordination
- Answer telephone calls, take accurate messages and ensure timely follow-up.
- Manage and coordinate appointments and meetings for the Marketing Director.
- Coordinate meetings and calls, including agendas, minutes and follow-up actions.
- Finalize meeting schedules organized by Sales Managers and communicate the relevant details to the Marketing Director.
- Attend the weekly Marketing meeting, prepare meeting minutes and distribute them to relevant participants.
- Maintain accurate, timely and organised filing and archiving of departmental documents and records.
- Maintain departmental databases, contact lists, documentation and other administrative records.
- Prepare the monthly attendance record for the department.
- Ensure sufficient office supplies, marketing materials and sales collateral are available and properly organised.
- Provide general administrative support to the Marketing Department, including correspondence, suppliers, travel arrangements and other coordination needs.
- Support the coordination of IT, office assets and service providers when required.
- Provide assistance to guests or visitors arriving without an appointment and conduct hotel tours when required.
Communication & Teamwork
- Maintain effective communication and cooperation with Sales, Operations and other hotel departments.
- Keep the relevant manager and/or concerned colleagues informed about work-related movements, appointments and other necessary information.
- Participate in departmental and hotel-wide activities and initiatives.
- Continuously develop professional knowledge, skills and competencies.
Qualifications
The role requires a good understanding of the hotel’s products, services, activities and promotions, as well as the ability to work closely with Marketing, Sales and other hotel departments. The ideal candidate is organized, proactive, detail-oriented and service-minded, with strong communication and coordination skills.
- Bachelor’s degree in Marketing, Communications, or a related field is preferred
- 1–2 years of experience in a marketing support role in hotel business
- Fluent English and native-level Turkish
- Proven experience in marketing, with a focus on coordination and campaign management
- Strong project management skills, with the ability to multitask and prioritize effectively
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and marketing tools
- A creative mindset with a keen eye for detail and design
- Ability to work independently as well as part of a team
