Production and Operations Executive (Live Events)

WHAT YOU WILL BE DOING:
This role sits within LIVE·TEAM's Brand Experience Division and is split evenly between two functions:
- Supporting the delivery of brand experiences, including bespoke builds, fabrication, logistics, operations, crew coordination and onsite delivery
- Local retail store operations, working with our account team to deliver a programme of in-store activity across the UK
We are seeking a proactive problem-solver who enjoys the operational detail required when delivering best-in-class brand experiences. You will be responsible for liaising with our roster of key suppliers and in-house teams across fabrication, logistics, operations, and studio. You will be helping to manage schedules, budgets, crew liaison, and need to enjoy onsite delivery and days in a hi-vis jacket.
This will be a hybrid working role, based in our Orpington office, with a requirement to also visit our London office, and spend time onsite.
Responsibilities
- Working with our in-house teams (print, fabrication and logistics)
- Support with supplier sourcing, finding practical, cost-effective solutions
- Attend pre-production meetings, site visits, installs and de-rigs
- Maintain project schedules, trackers, action lists and deadlines across multiple live projects
- Join internal and client meetings; keep on top of actions and deadlines
- Prepare crew briefs, call sheets, load lists, accreditation lists and install guides
- Coordinate hotels, travel, parking, site access and accreditation for crew and suppliers
- Help manage last-minute changes calmly during live delivery; track snags through to completion
- Support inventory management, and equipment returns
- Raise purchase orders, gather supplier quotations, and track and reconcile budgets
- Helping to establish onsite operational requirements ahead of live event delivery
- Provide regional teams with regular event progress updates via our client’s software platform
- Schedule promotional staff shifts for regional events
- Contribute to client responses and presentations
- Assist with RAMS, insurance certificates and other event compliance paperwork
- Keep project folders, supplier details and documentation organised and current
THE SKILLS AND EXPERIENCE YOU NEED:
- Experience in production coordination, experiential or live events, or brand activations
- Strong organisational skills, able to manage several projects simultaneously to tight timescales
- Confident building and maintaining relationships with clients, suppliers, crew and colleagues
- Clear written and verbal communication, with strong attention to detail
- Numerate and comfortable handling quotations, purchase orders and budgets
- Good working knowledge of MS Word, Excel, PowerPoint and Outlook
- Practical problem-solver who researches options and recommends solutions
- Working understanding of event health & safety and RAMS
- Full, clean UK driving licence; confidence driving vans is a plus
