Position overview
We are seeking a highly organized Project Coordinator to support the day-to-day operations of our Brand & Creative team. This role is responsible for coordinating creative projects from intake through final delivery, helping ensure that priorities, timelines, approvals and stakeholder communications remain on track.
The ideal candidate enjoys managing multiple moving pieces, is comfortable working with cross-functional teams and understands how creative work is produced. Experience working with creative, branding, advertising, marketing or digital agencies is strongly preferred.
This is a coordination-focused role, not a design role.
What you'll do
Project coordination
- Manage intake of creative requests and ensure requirements are complete before work begins.
- Create and maintain project schedules, timelines, milestones and review cycles.
- Track priorities, dependencies, approvals and deliverables across multiple concurrent projects.
- Coordinate communication between stakeholders, designers, content creators, agencies and vendors.
- Facilitate reviews, feedback cycles and approval workflows.
- Monitor project status and proactively identify risks, bottlenecks and scheduling conflicts.
- Maintain project documentation, meeting notes and status updates.
Creative workflow management
- Coordinate a wide range of creative deliverables, including:
- Digital marketing and social media assets
- Advertising and campaign creative
- Presentation decks and templates
- Brand and communications materials
- Sales and marketing collateral
- Event branding, signage and environmental graphics
- Print and digital assets
- Production-ready files and deliverables
- Ensure briefs, content, specifications and supporting materials are ready before work begins.
- Organize asset reviews, approvals and final delivery.
- Maintain version control and project records throughout the lifecycle of each project.
Agency and vendor coordination
- Partner with external creative, production and marketing agencies.
- Coordinate timelines, deliverables and review processes.
- Consolidate feedback and communicate updates clearly and accurately.
- Track production schedules and delivery milestones.
- Support vendor communications and production handoffs.
Cross-time-zone collaboration
- Support collaboration between U.S.-based stakeholders and India-based team members.
- Ensure handoffs, decisions, feedback and next steps are documented and communicated clearly.
- Help maintain workflow continuity across a distributed team environment.
What we're looking for
- 3-5 years of experience in project coordination, account management, traffic management, operations or project management.
- Bachelor's degree in marketing, communications, business, project management or a related field.
- Experience working with creative, marketing, branding, advertising or digital agencies preferred.
- Strong organizational and time-management skills.
- Ability to manage multiple projects simultaneously while maintaining attention to detail.
- Excellent verbal and written communication skills.
- Comfortable coordinating work across creative, design, marketing, communications and events teams while partnering with creative leaders, designers, content creators, agencies, vendors and other stakeholders.
- Strong follow-through and problem-solving abilities.
- Experience working with project management and workflow platforms such as Smartsheet, Monday.com, Asana, Jira, Workfront or similar tools.
- Familiarity with branding, advertising, content production or event marketing workflows.
- Familiarity with creative review, approval and asset delivery processes.
- Experience working with external agencies, production partners, printers or vendors.
- Ability to thrive in a fast-paced environment with shifting priorities.
- Experience supporting creative teams working across global time zones is highly desirable.
Nice to have
- Experience supporting event production, tradeshow, conference or experiential marketing programs.
- Exposure to creative operations, traffic management or agency workflow management.
- Basic understanding of print production and digital asset delivery.

Success in this role means keeping work moving. You will help ensure that projects have the information, approvals, timelines and coordination required to move efficiently from request through delivery.You will not create design work or set the creative direction. Instead, you will provide the operational structure that enables designers and creative leaders to focus on producing high-quality work while maintaining visibility, alignment and accountability across projects.
