Accounts Receivable Specialist

We are looking for an Accounts Receivable Specialist who is a natural collaborator. Someone who builds trust with customers, works easily across the company's Finance, Sales, and Customer Success teams, and takes genuine satisfaction in owning the full cash-in cycle from invoice through resolution. This role is the company's first line of customer contact on the phones for AR matters, from payment questions to collections conversations, so strong verbal communication is essential. This person will be the primary operator of the company's cash-in cycle including cash application, aging management, collections outreach, and professional customer communication. They will report directly to the Accounting Manager in Pullman and partner closely with the broader Finance team.
Core Responsibilities:
- Cash Application and Payment Processing
- Post all daily cash receipts within 24 hours of receipt, including bank transfers, ACH, wire payments, check deposits, and Stripe activity
- Attach remittance documentation to every posted payment in NetSuite
- Reconcile Stripe payment activity daily and resolve subscription payment failures with customers
- Investigate and resolve unapplied cash, misapplied payments, and short-pay situations
- Maintain the AR Suspense account with documented notes on unresolved items
- Aging Management and Collections
- Own the full accounts receivable aging report across all customer segments
- Execute a documented collections outreach cadence on every account in the 30+ day past-due bucket (phone, email, documented NetSuite notes)
- Escalate accounts in the 60+ day bucket for suspension and cancellation workflow in coordination with the company's Subscription team
- Drive outreach escalation through first contact, second contact, and third contact as needed
- Customer Communication
- Serve as the primary AR point of contact for customers with payment questions, disputes, credit memo requests, and reconciliation needs
- Correspond with external third-party collections agencies on referred accounts
- Document all customer interactions in NetSuite so any team member can reconstruct account status from the system of record
- Escalate high-risk balances to the Accounting Manager with a documented recommendation
- Reporting and Metrics
- Prepare the weekly AR aging summary for the Accounting Manager
- Track and report Days Sales Outstanding (DSO), Collections Effectiveness Index (CEI), and over-60-day balance concentration
- Surface recurring payment issues and process improvement opportunities
Requirements
Required Qualifications:
- 4+ years of accounts receivable experience in a corporate or SaaS environment
- Strong accounting background, with a solid understanding of accounts receivable processes, cash application, and financial reconciliation
- Experience working US business hours for a US-based client
- Strong written and verbal English communication skills with the professionalism and diplomacy to represent the company in customer-facing collections conversations
- High attention to detail and demonstrated accuracy in cash application and financial record-keeping
- Ability to manage a large customer portfolio and prioritize a high-volume queue against defined performance targets
Preferred Qualifications:
- Direct experience with NetSuite, Stripe, and Salesforce
- Familiarity with Dialpad or a comparable cloud phone system
- Conversational Spanish in addition to strong English
- Demonstrated ownership of the AR function at a growth-stage or SaaS company
- Experience managing a book of 500 or more active customer accounts
- Prior responsibility for presenting monthly aging review to Finance leadership
- Prior experience in a SaaS or subscription billing environment
- Associate degree or higher in Accounting, Finance, Business, or related field
Preferred Systems Fluency:
- NetSuite (ERP) — cash application, customer records, journal entries, account reconciliation
- Stripe — subscription billing, failed payment handling, lock and unlock workflow coordination
- Salesforce — customer account review, activity history, account notes
- Microsoft Excel — advanced (pivot tables, VLOOKUP/XLOOKUP, data cleanup, reconciliation)
- Google Workspace — email, Chat, Docs, Sheets
