• Mid-shift Schedule (5:00PM - 2:00AM PHT); Mondays to Fridays
• Office Location: (GreatWork Studio) ABDC Building, Sct. Rallos, cor Sct. Tuason St, Diliman, Quezon City, Metro Manila

🏢 Job Summary:

We’re looking for an energetic, organized, and people-oriented People Operations Associate to support our HR operations, employee lifecycle processes, engagement initiatives, and office administration.

This role is ideal for someone who enjoys working with people, takes initiative, and brings a positive attitude to the workplace. You’ll collaborate closely with the HR and Operations teams to ensure smooth employee onboarding and offboarding, support company activities, and create a welcoming employee experience.

🔑 Key Responsibilities:

1. People Operations & Employee Lifecycle

• Coordinate pre-employment requirements, employment documentation, and onboarding communications.

• Conduct New Hire Orientation to introduce employees to the company, its culture, policies, benefits, and processes.

• Coordinate with Operations and IT Support to ensure new hires receive the necessary accounts, equipment, system access, and instructions before their start date.

• Ensure a smooth handover between relevant teams and keep new hires informed throughout the onboarding process for a positive first-day experience.

• Maintain employee records and coordinate HMO enrollment, regularization, and other employment-related updates.

• Coordinate offboarding requirements, including clearance, exit documentation, equipment retrieval, and access removal.
  
  

2. Employee Engagement & Company Culture

• Collaborate with the HR team in planning and implementing employee engagement initiatives, including birthdays, work anniversaries, recognition activities, and team-building events.

• Work with the HR team and other stakeholders to coordinate virtual and onsite company activities, team meetings, and quarterly engagement initiatives.

• Facilitate company events, presentations, and employee activities, helping create an engaging and inclusive experience for participants.
  
  

3. HR Operations & Employee Support

• Coordinate with Operations and relevant teams on attendance, compliance requirements, KPIs, and other operational updates.

• Maintain accurate employee information in Odoo and other internal systems.

• Respond to employee inquiries and assist with HR-related documentation and administrative requests.
  
  

4. Office Administration & Procurement

• Coordinate equipment requests, quotations, deliveries, retrievals, and inventory tracking.

• Provide onsite administrative support for office activities, employee needs, and company events.

• Assist with expense monitoring, receipt consolidation, contract filing, and document management.

Requirements

💡 Skills, Knowledge, and Expertise

• Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.

• At least 3 years of experience in HR administration, People Operations, or a related role.

• Experience in a staffing or outsourcing services company is an advantage.

• Strong communication and interpersonal skills, with confidence in conducting orientations, facilitating discussions, and presenting to groups.

• Energetic, outgoing, approachable, and comfortable interacting with employees from different backgrounds and levels.

• A collaborative team player who can also take initiative and work independently when needed.

• Open-minded and adaptable, with the ability to work effectively with colleagues and stakeholders across different cultures, time zones, and working styles.

• Willing to take on new challenges, learn unfamiliar processes, and adapt to changing priorities in a growing global organization.

• Organized, detail-oriented, proactive, and capable of managing multiple priorities while meeting deadlines.

• Proficient in Microsoft 365 and Outlook; experience with Odoo or other HR systems is an advantage.

• Amenable to working onsite daily (Monday to Friday).
