Fine Fragrance Sales Assistant - Your future position?

As the Fine Fragrance Sales Assistant with Givaudan, you will support the day-to-day tasks within Givaudan Fine Fragrance Sales Team. In this exciting role, you will report directly to the Account Manager and will have the following missions:

Sales Support:

• Act as the primary point of contact for business support on behalf of account managers, coordinating with internal teams and external contacts.
• Ensure accurate and timely data entry and maintain up-to-date commercial information in business systems (IBIS, SAP, ATLAS, Pegasus, etc.).
• Proactively process and follow up on fragrance oil and application sample requests, stability requests, offers and quotations, regulatory documentation, raw material checks, demand plans, and trial orders.
• Prepare documentation and paperwork to support the sales process.
• Handle day-to-day customer requests, ensuring timely responses and identifying opportunities to provide added value.
• Support business development by building direct relationships with smaller accounts, qualifying commercial leads, and tracking follow-up and conversion through digital tools.
• Analyse commercial data, prepare reports, and propose actions to support sales performance and customer service. 
  
  

Team Administration and Coordination:

• Provide daily administrative and secretarial support to account managers and the team.
• Coordinate internal and external meetings, including scheduling, invitations, meeting room bookings, and arrangements with colleagues, clients, and external partners.
• Provide administrative and logistical support for workshops, conferences, client activities, and exhibitions.
• Assist in managing and maintaining the product collection, including organising products, updating records, and coordinating product requests and deliveries.
• Coordinate assigned projects, set priorities, track deadlines, and follow up on outstanding actions with minimal supervision.
• Build effective working relationships across functions to ensure clear communication, improve processes, and anticipate upcoming business needs.
• Support reception duties, log-in processes in internal systems, including registering customer briefs, entering fragrance oil and application sample requests, recording submissions, and updating project status and deadlines. Ensure all information is complete and accurate, support reception company duties, and general office administration as required.

Your professional profile includes:

Academic Background

• Bachelor’s degree or higher 
  
  
  

Professional Experience

• A minimum of 3-5 years’ experience in sales administration and/or customer service.
• Experience coordinating projects, managing deadlines, and following up on assignments with minimal supervision.
  
  
  

Skills and Attributes

• Passion for fine fragrance, with an interest in fragrance products, brands, and market trends.
• Fluency in spoken and written English and Thai, including professional business communication.
• Advanced proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.
• Proficient in navigating business systems and managing commercial data.
• Strong organisational, time management, and prioritisation skills, with the ability to manage multiple tasks and assignments.
• Ability to work under pressure, meet deadlines, and take responsibility for assigned work.
• Strong problem-solving skills, initiative, and a proactive approach to anticipating needs.
• Results-oriented and service-minded, with energy and adaptability.
• Strong attention to detail and accuracy.
• Good interpersonal skills and the ability to build effective relationships with colleagues, customers, and external partners.
• Quick learner with the ability to apply new knowledge effectively.
• Basic knowledge of relevant regulatory requirements, safety, and other applicable guidelines is an advantage.
