We are looking for a Commercial Assistant to come onboard in our Commercial Directorate. 

Your Mission 

• Manage the SVP’s agenda, including scheduling, coordination, anticipation of needs and priority management.

• Organize travel arrangements for the SVP Commercial and manage expense reports.

• Participate in department meetings, take minutes, and record and follow up on action items.

• SAP / COUPA: support budget preparation and monitoring, create purchase orders and process invoice receipts in the system.

• Manage office supply orders for the Commercial Directorate, anticipating needs and monitoring stock levels.

• Support the onboarding of new employees by organizing their arrival, setting up the accounts required for their role, enrolling them in appropriate training courses, etc.

• Actively contribute to the day-to-day life of the department and facilitate communication with other departments and external partners.

• Support the organization of events, particularly weblives, as well as meeting logistics.

• Act as the secondary IT focal point and as a point of contact for facilities management.

• Coordinate the SVP Commercial’s activities during airshows: prepare and optimize the agenda, organize and coordinate alignment meetings with commercial teams and internal stakeholders, follow up on action items, and support the preparation and smooth running of events.

• Support the organization of the Directorate’s participation in airshows and customer events, including logistics coordination, invitation management and registration follow-up.

• Support the preparation of business trips and commercial roadshows, including logistics, scheduling and coordination with local teams.

About you 

• More than 5 years of experience as an assistant 

• Fluency in French and English, both written and spoken; knowledge of Italian would be an asset. 

• Good command of the Microsoft Office suite, including Outlook, Excel, Word and PowerPoint. 

• Strong organizational, coordination and priority-management skills. 

• Excellent communication and interpersonal skills, with the ability to interact effectively with a wide range of stakeholders. 

• Discretion, confidentiality and reliability. 

• Autonomy, proactivity and a strong sense of initiative. 

• Adaptability, responsiveness and the ability to work effectively in a demanding environment and manage urgent priorities.

Nous recherchons un Assistant Commercial pour rejoindre notre Direction.

Votre mission 

• Gestion de l’agenda du responsable de Direction (mise en place, coordination, anticipation, gestion des priorités) 

• Organisation des voyages du SVP Commercial et gestion de ses notes de frais 

• Participation aux réunions de services, prises de notes et relevés/suivis d’actions 

• SAP / COUPA: aide à l’élaboration et suivi des budgets, créations des commandes et réceptions des factures dans l’outil 

• Commandes de fournitures pour la direction Commerciale: anticiper le besoin et gérer les stocks

• Gestion des nouveaux arrivants : organisation de leur arrivée : création des comptes nécessaires à la fonction, inscriptions aux formations adéquates, … 

• Participation à la vie du service et facilitation des échanges avec les différents départements et partenaires extérieurs  

• Support à l’organisation d’événements (notamment weblives) et de la logistique de meetings 

• Second point focal informatique et point de contact pour la gestion des locaux

• Coordination des activités du SVP Commercial lors des salons aéronautiques : élaboration et optimisation de son agenda, organisation et coordination des réunions d'alignement avec les équipes commerciales et les parties prenantes internes, suivi des actions et soutien à la préparation et au bon déroulement des événements.

• Support à l’organisation de la participation de la Direction aux salons et événements clients : coordination logistique, gestion des invitations, suivi des inscriptions

• Support à la préparation des déplacements ou roadshows commerciaux (logistique, planning, coordination avec les équipes locales)

A propos de vous 

• Expérience de plus de 5 ans en assistanat de Direction

• Maîtrise du français (courant) et de l'anglais (écrit et oral) ; des notions d'italien seraient un atout

• Bonne maîtrise de la suite Microsoft Office (Outlook, Excel, Word, PowerPoint)

• Sens de l'organisation, de la coordination et de la gestion des priorités

• Capacités de communication et aisance relationnelle avec des interlocuteurs variés

• Discrétion, sens de la confidentialité et fiabilité

• Autonomie, proactivité et sens de l'initiative

• Capacité d'adaptation, réactivité et aptitude à travailler dans un environnement exigeant et à gérer les urgences
