Position Summary

VIAVI Solutions is seeking a highly organized and proactive Sales Administrator to support the Americas sales organization. This position will provide day-to-day administrative and operational assistance to the sales team, helping ensure that customer requests, quotations, orders, reporting, and internal processes are handled accurately and efficiently.

The ideal candidate is detail-oriented, responsive, comfortable managing multiple systems and priorities, and able to collaborate effectively with sales, customers, channel partners, finance, operations, and customer service.  Position reports to John Winans, Sr. Director of Sales, Americas

Key Responsibilities

• Provide administrative and operational support to the Americas sales team.
• Assist with preparing customer quotations, proposals, and supporting documentation as needed by Sales
• Help track quotations, purchase orders, order status, shipments, delivery dates, and outstanding customer actions offloading from Account Executives.
• Facilitate Sales team with new customer setup with legal and operations teams on vendor-registration forms, nondisclosure agreements, tax documents, and other required customer paperwork.
• Work with Sales Operarations to prepare routine sales reports, pipeline summaries, forecast updates, dashboards, and presentation materials.
• Help organize customer meetings, internal sales calls, internal reviews, training sessions, and industry events.
• Coordinate travel arrangements, meeting logistics, calendars, and expense reporting when required.
• Perform additional duties as assigned, including coordinating and scheduling the VIAVI GAP program, Win Stories, and the VTOP process to ensure proper cadence, timely participation, and consistent follow-through.
• General office duties ensuring supplies are maintained to support the Sales team, ie data sheets, snacks and supplies in support of events and customers.

Pre-Requisites / Skills / Experience Requirements:

Required Qualifications

• Associate or bachelor’s degree in business administration, marketing, communications, or a related field preferred; equivalent experience will be considered.
• One to three years of administrative, customer service, sales-support, or sales-operations experience preferred.
• Entry-level candidates with strong organizational, communication, and technology skills may also be considered.
• Strong proficiency with Microsoft Outlook, Excel, Word, PowerPoint, and Microsoft Teams.
• Experience using Microsoft Sales Dynamics or another CRM platform is preferred.
• Excellent written and verbal communication skills.
• Strong attention to detail and commitment to data accuracy.
• Ability to manage multiple priorities, help teams meet deadlines, and follow assignments through completion.
• Professional and responsive approach when working with customers, partners, and internal teams.
• Ability to work independently while contributing effectively within a geographically distributed organization.

Preferred Qualifications

• Familiarity with quotations, purchase orders, order management, and forecasting
• Experience working with distributors, manufacturers’ representatives, or channel partners.
• Basic understanding of sales terminology, product configurations, lead times, and customer procurement processes.
• Experience supporting field sales teams across multiple territories or time zones.
