Overview

Gallagher Center of Excellence (GCoE) is seeking to hire a Bid Content Specialist – Knowledge and Document Manager. As a Proposal Response Specialist, you are responsible for ensuring Gallagher’s Bid Library is proactively maintained with fresh, relevant content. You will become an expert in using Gallagher’s ‘Responsive – formerly RFPIO’ technology to work with Sales Teams to capture and communicate our value proposition. You will use the Bid Library to provide Sales Teams with answer content across all Gallagher propositions.

You will be responsible for content strategy development, advanced writing and editing skills, and working closely with the Bid Managers on a day-to-day basis.

This role requires a strategic thinker with excellent writing skills who can translate complex insurance concepts into clear, persuasive documents. You are required to collaborate with cross-functional teams to gather necessary information, ensuring that all proposals meet client specifications and industry standards. Success in this position involves producing compelling bid content that enhances the company's chances of winning new business and expanding its client base. Additionally, you will be responsible for fostering a culture of collaboration, continuous improvement, and customer focus within the shared services team. You will be interacting with teams present in Bengaluru and Pune.

How you'll make an impact

Responsibilities:

Response Development: Review assigned RFP questions and select the most appropriate responses from approved content libraries and knowledge repositories.
Content Customization: Tailor responses to align with prospect requirements, industry considerations, and client-specific circumstances while maintaining approved messaging.
Content Analysis: Evaluate requirements, identify content gaps, and determine when additional research or subject matter expertise is needed.
Continuous Improvement: Incorporate reviewer feedback and lessons learned to improve future proposal responses and overall response quality.
Content Knowledge Management: Maintain familiarity with approved content, response libraries, and became champion of knowledge sharing.
Content Enhancement: Identify outdated, duplicate, inaccurate, or missing content and contribute to ongoing content improvement initiatives.
Deadline Management: Manage multiple proposals simultaneously, ensuring deliverables are completed accurately and on time.
AI Advocacy & Digital Enablement: Act as a champion for AI and digital technologies by promoting adoption, sharing best practices, identifying use cases, and leveraging tools such as Microsoft Copilot to enhance proposal development, content management, and operational efficiency.
Project Management: Take ownership of the proposal and co-ordinate with Bid Managers till the proposal submission. Have regular connects with the Bid Mangers to ensure the smooth progress of the project.

Technical Skills

Working knowledge of Responsive software and Microsoft Suit
Ability to navigate and search large content libraries.
Understanding of RFP workflows and proposal development processes

Business Knowledge

Deep understanding of assigned line of business.
Understanding of client buying considerations and industry-specific requirements.
Ability to recognize when standard content should or should not be used.

Critical Thinking & Communication

Strong written English comprehension.
Ability to interpret nuanced client questions and determine underlying intent.
Ability to evaluate multiple possible responses and select the most appropriate option.
Strong judgment and independent decision-making skills.
Ability to apply coaching and feedback across future opportunities.

Writing and Editing Expertise

Advanced writing skills across different content formats, from blogs and articles to web pages and social media posts. It also involves the ability to edit content for clarity, style, tone, and consistency, ensuring that all content aligns with the brand's voice.

SEO and Content Optimization

A deep understanding of Search Engine Optimization (SEO) techniques to ensure content ranks well in search engine results. This includes performing keyword research, optimizing on-page SEO (headings, metadata, etc.), and crafting SEO-friendly content while maintaining quality and readability

Cross-functional Collaboration

Strong teamwork skills to collaborate effectively with other departments such as marketing, design, sales, and product teams.

About you

Minimum Required Degree: Bachelor's Degree in Marketing, Communications, Journalism, English, or a related field.

Master's Degree in Marketing, Communications, Journalism, English, or a related field is preferred

Certificate(s)/Special Training:

Knowledge Capture Certification or equivalent
Certification in Insurance Bid writing is highly preferred.
Advanced training in SEO (Search Engine Optimization) and SEM (Search Engine Marketing) is advantageous.
Proficiency in content management systems (CMS) such as WordPress.
Training in analytics tools such as Google Analytics is beneficial.
Project management certification (e.g., PMP, Agile) is a plus.
Certification in advanced content strategy or copywriting is beneficial.

Experience (Career Level Guide)
- Bachelor’s degree in communications, Marketing, Journalism, or a related field.
- 5+ years of experience in content creation, SEO, and digital marketing, preferably within the financial or insurance industry.
- Strong knowledge of SEO tools (Google Analytics, SEMrush, Moz) and content management systems (e.g., WordPress, HubSpot).

- This position is to work in a Hybrid model and depending on business requirements must be flexible to work from office/home as required to accomplish their role.
