Executive Assistant – International Private Bank

As an Executive Assistant in the International Private Bank, you will provide dedicated support to a senior leader, helping manage a busy schedule and priorities across a global organization. You will coordinate meetings, travel and leadership engagements, build relationships with stakeholders, and help ensure the smooth running of the office.
Job Responsibilities
- Manage complex calendars, meetings and scheduling across multiple time zones, anticipating conflicts and optimizing priorities.
- Coordinate domestic and international travel, including itineraries, transportation and contingency planning.
- Prepare agendas, briefing materials and meeting documentation, and coordinate follow-up actions.
- Handle sensitive information and communications with discretion, confidentiality and sound judgment.
- Track action items, deadlines and deliverables and maintain effective information management.
- Manage incoming requests and act as a professional point of contact for internal and external stakeholders.
- Draft and edit correspondence, presentations and other materials.
- Coordinate leadership meetings, client engagements, off-sites and other events.
- Partner with colleagues across the organization to support business priorities and improve administrative processes.
Required Qualifications, Capabilities, and Skills
- Experience providing high-quality administrative or executive support to senior leaders in a corporate or fast-paced professional environment.
- Experience managing complex calendars, competing priorities, meetings and travel.
- Strong organizational skills and excellent attention to detail.
- Strong written and verbal communication skills, with the confidence to engage with stakeholders at different levels.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Proficiency in email and calendar management, documents, spreadsheets, presentations and collaboration tools.
- Ability to work independently, anticipate needs, solve problems and adapt as priorities change.
- Strong teamwork, relationship-building and stakeholder management skills.
Preferred Qualifications, Capabilities, and Skills
- Experience supporting executives within private banking, wealth management, financial services, or another regulated environment.
- Experience supporting global leadership with frequent cross-border coordination, client-facing engagements, and complex executive events.
- Demonstrated ability to improve administrative processes, operating rhythms, and ways of working for senior leaders.
