[What the role is]

This position is with the Academic Affairs Department supporting Continuing Education & Training (CET) Administration.

[What you will be working on]

Course Administration & Operations

Plan, coordinate and administer admissions and examination activities for part-time courses, ensuring smooth execution in accordance with established policies and procedures.

Maintain proper records and documentation to support operational continuity, audit and compliance requirements.

Stakeholder Service & Coordination

Handle enquiries and provide accurate information and advice to course applicants, students and academic staff.

Liaise and collaborate with academic and non-academic staff to support effective course management and the smooth administration of examinations.

Student Records & Data Management

Compile, verify and analyse data for operational monitoring and reporting purposes.

Systems Administration & Vendor Coordination

Conduct data verification and support the administration of systems used for part-time course operations.

Liaise with vendors and relevant stakeholders to investigate and resolve system-related issues in a timely manner.

Projects & Process Improvement

Plan, implement and monitor projects and initiatives relating to part-time courses.

Review operational issues and recommend improvements to processes, guidelines and standard operating procedures.

Division & Institutional Support

Provide administrative support for the division and ensure that records and documentation are properly maintained.
Contribute to department- and institution-wide projects, committees and ad-hoc initiatives as assigned.

[What we are looking for]

At least 3 years of relevant administrative or operational experience is preferred

Meticulous, proactive and able to work independently as well as collaboratively in a team

Strong service orientation, with good written and verbal communication and interpersonal skills

Able to prioritise, manage multiple tasks and projects, and meet tight deadlines

Possesses analytical and problem-solving skills, with the ability to follow through and deliver quality work
Proficient in Microsoft Office applications, comfortable working with systems, and familiar with applying Generative AI tools to support work tasks
