About the role

People are at the heart of everything we do. Given our recent expansion, it is becoming more important than ever that we are well structured to support our people and achieve our business goals.

As our People Operations Executive, you will take ownership of end-to-end employee lifecycle management, people services and knowledge management, ensuring operational excellence and a positive employee experience. You will also support workplace operations across our Singapore HQ and regional offices, collaborating closely with People & Culture stakeholders, Finance and external partners to drive operational efficiency, strengthen service delivery and continuously improve the way we support our people.

Main Responsibilities

1. Employee Lifecycle Management

• Manage end-to-end employee lifecycle, including onboarding, offboarding, employee movements, contract renewals and employment documentation.
• Coordinate with HR Business Partners, hiring managers and relevant stakeholders to ensure timely completion of lifecycle activities and smooth employee transitions.
• Maintain accurate employee records, organisational information, HR systems and supporting trackers, upholding data integrity, confidentiality and documentation standards.
• Monitor key process timelines, outstanding actions and handovers; identify and address gaps to ensure reliable service delivery.

2. People Services & Employee Support

• Own the day-to-day #people-support channel, serving as a first point of contact for employee enquiries on established P&C processes and services.
• Triage, track and resolve routine enquiries in a timely and professional manner, escalating policy-sensitive, complex or employee-relations matters to the appropriate People & Culture partner.
• Coordinate follow-through across relevant stakeholders and identify recurring enquiries to improve response consistency and employee self-service.

3. People Knowledge & Documentation Management

• Maintain and update the P&C handbook, employee-facing policies, FAQs, organisational charts and other people knowledge resources in coordination with relevant policy owners.
• Ensure employee information and process guidance remain accurate, accessible, well-organised and aligned with approved policies and organisational changes.
• Support the standardisation of templates, knowledge resources and documentation practices across markets.

4. Singapore HQ & Regional Workplace Operations

• Coordinate day-to-day Singapore HQ operations, including office supplies, pantry inventory, facilities requests, meeting spaces and workplace service providers.
• Act as the operational contact for workplace-related enquiries and coordinate timely resolution with internal stakeholders and external vendors.
• Liaise with local P&C teams on regional office requirements, procurement requests, vendor documentation and general workplace administration.
• Maintain relevant workplace records and support consistent administrative practices across offices.
• Identify opportunities to improve workplace efficiency, employee experience and office operations.

5. Invoice & Expense Coordination

• Coordinate the verification and submission of office-related invoices and expense documentation across markets.
• Liaise with vendors, local stakeholders and Finance to ensure accurate and timely invoice processing.
• ⁠Maintain visibility of invoice status, outstanding payments and workplace expenses against approved budgets.

Requirements

• Diploma or degree in Human Resources, Business Administration, Management or a related discipline.

• Prior experience in HR operations, employee services or a similar operational role; experience coordinating workplace administration is an advantage.
• Strong organisational skills, attention to detail and ability to independently manage competing priorities and deadlines.
• Clear written and verbal communication skills, with a service-oriented approach and confidence working across functions and markets.
• Proficiency with spreadsheets, shared documentation and HR systems, with the ability to learn new platforms efficiently.
• Sound judgement and discretion when handling confidential employee information.
• Eligibility to work in Singapore.
