We are looking for an organised, proactive and customer-focused Commercial Property Administrator to join our Strategic Asset Management team. Based at our Basingstoke Office, this is an excellent opportunity for someone with strong administrative skills and an interest in commercial property to play a key role in supporting the management of our commercial assets and ensuring the smooth operation of the department.

What you'll be doing:

• Act as the first point of contact for commercial property-related enquiries, responding to internal and external stakeholders in a professional and timely manner.
• Maintain accurate electronic and physical records, ensuring documents are securely stored and easily accessible.
• Manage and update databases, contact records and filing systems.
• Raise and process purchase orders, requisitions and payments, resolving queries and ensuring compliance with financial procedures.
• Support the day-to-day administration of commercial units under the direction of the Head of Commercial Property.
• Liaise with the Company Secretary to coordinate document signing and sealing processes.
• Build and maintain positive relationships with commercial tenants, responding to enquiries and requests efficiently.
• Monitor and maintain tenant compliance records, requesting and filing documentation as required.
• Support lease renewals, re-lettings and other property transactions by liaising with external solicitors and surveyors.
• Assist in producing consultant appointment contracts and letters of appointment.
• Prepare minutes, reports, spreadsheets, presentations and other business documents to a high standard.

What we're looking for:

Essential:

• Strong administrative and organisational skills with excellent attention to detail.
• Good working knowledge of Microsoft Excel and other Microsoft Office applications.
• Excellent communication skills, both written and verbal.
• Ability to manage multiple tasks and prioritise workload effectively.
• Strong customer service and stakeholder management skills.
• Ability to handle confidential information with discretion and professionalism.
• Commitment to high ethical standards, integrity and honesty.
• A collaborative approach and ability to build effective working relationships.

Desirable:

• Previous experience within commercial property, real estate, asset management or a related environment.
• Experience working with tenants, contractors, solicitors or surveyors.
• Knowledge of property administration processes and compliance requirements.
